Growing faster than the benefits system
The company had grown from just 16 employees in 2022 to more than 200 in only a few years. That kind of growth creates opportunities. It also creates administrative headaches.
With employees spread across nine locations in 13 states, benefits responsibilities were being shared among the controller and company owners, all of whom had other jobs to do. The company had systems for tracking its workforce, but its benefits census included a mix of active full-time employees, terminated employees, part-time employees and recently hired employees who weren’t yet eligible for benefits.
At the same time, the company wanted better benefits. Its existing plans weren’t meeting employee needs and participation was low. Insureous began working with company leadership to review the existing program, gather alternatives and develop a better mix of benefits.
Then the clock became a problem.
Final plan decisions weren’t made until five days before the existing coverage was set to expire.
Five days to get it done
Before enrollment could begin, we first had to establish who should actually be enrolling. Working closely with company leadership, Insureous reviewed the census and separated eligible employees from terminated employees, part-time employees and new hires who hadn’t yet reached eligibility. The result was a clean enrollment population of 137 eligible employees.
We then built and launched a digital benefits hub where employees could review their options, watch short benefit videos and enroll or waive coverage.
Throughout enrollment, Insureous and company leadership stayed in close contact. We provided regular enrollment counts, identified employees who still needed to respond, ran reports and followed the process through completion.

Despite the five-day implementation window, the new coverage took effect August 1 as scheduled.

Every eligible employee completed the process across nine work locations, with no enrollment meetings and no broker travel. We produced the payroll deduction summary in the employer’s required format and delivered it in time for the new deductions to begin.

Then we built for the next 200 employees
Getting through enrollment solved the immediate problem. It didn’t solve the company’s growth problem. So the benefits system stayed in place.
Employees now have a year-round hub where they can find plan summaries, carrier contacts and other benefit resources.
Company leadership has its own portal showing the current employee census, enrollment information and payroll deductions. They can also report new hires, eligibility dates and employee terminations in one place. Those submissions notify Insureous so we can handle the corresponding carrier enrollments and terminations and help make sure changes don’t fall through the cracks.
We’re now working with the company on additional benefits administration needs, including required tax reporting and exploring ways the Insureous platform could eventually connect with its HR/payroll system.
The goal isn’t simply to make enrollment easier. It’s to build a benefits process that can keep up with the company.
